Administrative Assistant – Term to September 2024 Job Details:

Overview

Provides confidential administrative support services to the Corporation, including support to the Chief Financial Officer and additional Senior Leadership Team members, as well as, other NTPC employees.

Responsibilities

  • Draft new word processing, spreadsheet and presentation documents using Word, Excel and PowerPoint as required. Review, proofread and edit documents prepared by others for spelling, grammar, content and format.
  • Coordinates meetings, finalize agendas and takes meeting minutes as required. This may include corporate emergency-type events (JAC, operation emergencies, etc.)
  • Code and process invoices, travel claims and other financial documents appropriately in a timely manner. Alert the Team Leader, Administrative Services to any unusual requests.
  • Support board meeting and Minister briefing preparation requirements as needed.
  • Booking travel arrangements and facilities for office events and employee travel.
  • Maintain head office key assignment including tracking of keys and development of procedures around key use and fines for lost keys.
  • As a member of the shared administrative pool, will support duties of other Administrative Assistants.

Qualifications

  • Certificate in Office Administration with three (3) or more years related office experience including administrative experience. Equivalencies may be considered.
  • Advanced computer word processing and spreadsheet skills.
  • Must possess excellent written and oral communications skills.
  • Must have tact and diplomacy to deal with and respond to inquiries from the general public, customers, politicians, and contractors.
  • Must have ability to recognize and act on urgent matters.
  • Must be a self-starter and able to work with little direction, while managing multiple tasks and frequent interruptions.
  • Must possess excellent analytical skills and structure problem-solving abilities.
  • Must be able to effectively communicate requests for information to a wide-range of employees.
  • Requires interpersonal skills for working in a team environment.
  • Requires the ability to work independently with limited supervision.
  • Must undergo a successful criminal records check.
  • Valid Class 5 Driver’s License or equivalent required.

Salary for this position ranges from $35.21 – $42.81/hr. plus location and accommodation allowances of approximately $8,023 per annum.
