Event Communications Specialist
The Event Communications Specialist is responsible for supporting tactical and creative aspects of Mitacs’s flagship and corporate events. The ideal candidate is an energetic self-starter with strong communication skills. The ability to balance multiple projects and competing deadlines is key to success in this fast-paced role. The Event Communications Specialist will be involved in all aspects of event planning and roll-out to ensure activities uphold the strategic vision, mission, and purpose of Mitacs’s organizational objectives.
The Event Communications Specialist plays a crucial role in planning and executing effective communication strategies for our events. Expertise in event promotion, marketing, and public relations will contribute to enhancing the overall attendee experience and ensuring the success of our events. The ideal candidate will own the communication strategy for Mitacs events and create compelling communication materials.
Responsibilities
Under the direction of the Manager, Events, support all aspects of Mitacs’s events (in person and virtual) across Canada and at an international level, including but not limited to:
- Crafting engaging event materials (including invitations, event briefs, signage, promotional items, post-event surveys, etc.)
- Designing visually appealing emails and messaging in Canva or related design program
- Supporting two major Mitacs award ceremonies, including applications, adjudication, logistics, and email marketing, and managing the virtual event platform
- Collaborating with cross-functional teams to understand event objectives, target audience, and key messaging to create compelling communication materials
- Assisting in the building and maintenance of the event website
- Supporting the Manager, Events in maintaining accurate files and meeting deadlines on a critical path
- Organizing and managing event swag shipments
- Managing incoming inquiries from event registrants/attendees
- Supporting sponsorship outreach and fulfillment
- Supporting communication plans that engage stakeholders using social media, online communications, and email campaigns
- Supporting Marcom department with research, social media and networks, and reporting as required
- Collaborating with colleagues across Marcom, Partnerships, Policy, and Business Development teams as
- Utilizing advanced Excel skills to effectively manage and maintain data integrity, ensuring the cleanliness, accuracy, and efficient utilization of event-related data for targeted marketing campaigns
Skills and qualifications
- A degree, diploma, or certificate in event planning, marketing, communications, public relations, or a related field
- Three to four years of experience in the event marketing or communications field
- Basic graphic design skills using programs such as Canva
- Ability to handle multiple projects at once, meet deadlines, and prioritize tasks
- Ability to understand the unique needs of various stakeholder groups and modify communications accordingly
- Ability to travel to events when necessary
- Excellent and professional communication skills, both written and verbal
- Excellent knowledge of Microsoft applications: Excel, Word, PowerPoint, Teams, ClickDimensions
- Knowledge of Zoom, MailChimp, Eventbrite, Virtual Event Software, Canva
- Understanding accessibility and event design is an asset
- Hospitality experience is an asset
- Spoken and/or written French is an asset
